Invoice By Email

Hi,
currently I sen invoices by email. sometines in teh body and somethiems as an attachment ( word doc). I would like

Musta been my first day on the board back then...
Think what i wanted to know is, you can print an invoice from QB but how can you save it as a file - for the record - and so you can send it by email?
And thanks for pondering my mystery message all these months.

Lightbulb PDF creator

I've used PDF files for a while and searched high and low for the best deal on a PDF writing program. This is the best that I've located:

You can download it for free; I don't think that there are any limitations on its use <note i'm not a lawyer so don't sue me if i'm wrong>, it does not put any message on its output. The only limitation is that each time you use it, it opens a web browser to an ad for their products or other related items. For $9.95 US you can register the program and get rid of the ads.

It installs and works as a printer, simply print your invoice or whatever and choose pdf995 as your printer and then specify a file name and location. Then, just e-mail the file and save a copy of it wherever you'd like.

Arrow How about using Microsoft Fax .tif file as emailed invoice?

I have been emailing invoices to my customers by printing the Quickbooks invoice into a .tif file using the Microsoft bundled Fax printer driver.

Print your invoice selecting Fax as printer.
Enter Dummy Fax recepient & Fax Number
Uncheck cover page
Preview the FAX and save it as (yourfilename)
Cancel so that no Fax is actually sent

Attach this invoice in (yourfilename).tif file in your email.

The Fax format multipage *.tif file can be opened by your customer's "imaging" program included in Windows Accesscories - free.

Advantages:-
1. .tif is not editable but viewable and printable.
2. .tif file is one document even if invoice is multipage
3. a .tif file is b/w and tiny in size less than 20K and so send and downloads very quickly in emails.


(sol's solution is also very attractive)

Invoice + Email + Save As = PDF

We use QB Pro 2003 AU edition.
This has "Save As PDF" functionality built in, but it's a little obscure.

From the invoice, press the Email button. You must have an email address for the customer for this to work (just enter anything if you don't know the actual email address).

When the "Email One Tax Invoice" window appears, you can click "Save As" to save the file without emailing, or just Email to send directly.

QB 2004 US Edition has Save as PDF on the File menu (i.e. can use it anywhere), so this will probably be out in the 2004 AU edition in a few months.

Print to Adope PDF Writer

if you have adope, go into your QB's invoice
choose print option: adope pdf writer and save to respective area.

That's it!

Incidentally, if you don't like the standard QB wording for the covering e-mail when you send an invoice by e-mail you can go into the e-mail templare file via Windows Explorer and change it, even if only to add your normal signature wording.

WHAT A SILLY.
In the invoice view in QB 2003 there is an email button! You make sure there is an email address in the cutsomer's profile and you (duh) press the button in invoice view. ( It turns it into a PDF)

I know, I know... when nothing esle works, read the instructions.

Actually the button was staring me in the face. I just presumed 'cause you couldna do it in QB7+....
