Quickbooks file size

I have been using QB Pro for two years now and the file size has gotten rather large making it not as portable. Is there any suggestions to how to deal with that. When you close your books at the end of the year do you use the same file for the next year and the next year and so on ....?

My back up is about 14 3.5disks. I usually back up to my desktop and then burn the backup on CD. This saves me a lot of time

Thumbs up Quickbooks file

I guess what I am asking is it standard procedure to use one file for all the years that a business uses Quickbooks? Or ... is there some alternative that some people chose?

Have a look in the Help on Condensing Data.

The real answer is to ask yourself the question "Do I need last year's data in the same file so that I can compare this year with last year?" If the answer is yes, how many years do you need?
Condensing will keep the file size down. Only keep as much detail as you need.

Is there an easy way to transfer your information from one year to the next so you don't have to input your customer data, company data, lists, and such all over again?

Lightbulb data file size

One thing yoiu can do to shrink your files size is to run a Verify and rebuild on it. This will shrink you file in half without condensing it.
From the file menu drop down chose utilities then verify once verify has run and there is no data damage run a rebuild. YOu will notice your file size has shrunk. As always create a back up before doing this.

As far as setting up your company lists again that is easy and very fast just click file drop down to utilites and select export you acn export your lists from there and just import them into a new data file set up your YTD amounts and your off to the races.
