Purge Old Data

Hi Guys,

I've been using QB since 2001 and have built quite the file. My company file is now over 20MB.

I am using 2003 Pro with a 5 person multi user license and its been fine but I have a couple of questions.

Firstly, is it possible to purge old data from my existing company file? I'd like to get it down and get rid of the crap that I no longer need.

Secondly, it looks like its time to upgrade since QB is going to stop support of the payroll feature on this version but I have heard horrible things obout the 2006 version. Anyone have any suggestions or advice for me?

The only way to remove data in quickbooks is the condense function. Some times it does not get all of the transactions converted to a journal entry.
The best way is to start a new company and add the year 2005 to the file name.

With a file that large, you're better off to start a new data file at the beginning of your tax year and enter the prior year's ending Balance Sheet balances from your tax return as the beginning balances.
If you try to condense a file that large, there is a good chance of data corruption if you don't have any already. Have you verified the data file lately?

Thanks for the replies. Data file is fine and has been verified.

That said, if it is that difficult to purge closed and reconciled data, will I not just run into the same problem but in a shorter period of time since my business has grown so much over the last few years? Should I just look for a more scalable app?

What about Pro 2006? I've heard a lot of complaints about it. Is it worth switching?

You may want to take a look at some of the tools available from

QB's 2006 ... personally, I would stay away from it.
