Question Removing old Transactions

I want to delete transactions from some accounts and/or only transactions older than a specified date. Can I do this without having to individually delete each of these thousands of transactions? THANK YOU FOR YOUR HELP!

Use the archive & condense data feature with the file menu.

Archive & condense works great IF you don't have AR or inventory. If you have that many transactions to get rid of (I assume your data file is just huge) you need to start a new data file.

You can export all of your lists so that the only re-entry is for your balances.

If you need more info on how to do this etc. email me at nancy@bottomline-sb.com

Deleting transactions

If I were deleting transactions older than a certain date, I would make a transaction report for the correct date(s) then double-click each transaction hold the CTRL-DEL key down say OK. It is so slow, there is no easy way to delete, but after the 30th transaction, you get really good at it and the speed picks up.

And when you're finished deleting all those transactions, just go in and delete the whole file because it will be useless. You cannot delete anything in a prior period in the program because it will destroy your balance forward totals and wipe out your books. The correct way is to start a new file and use your ending numbers from the old file as the beginning balances for the new one. As Nancy said, you can export all your Chart of Accounts and lists from the old company into the new one so you don't have to re-enter all that stuff.
