Does anyone have experience converting QuickBooks W-2 data into the IRS's mandated electronic format? I've gotten as far as printing to the computer and then converting to an excel file.
Is there any third party software that can go from quickbooks directly to the correct ASCII format?

I have spent three years figuring this one out ! Still searching for
a way to convert the data myself. Meantime, I use W2Pro and rekey all of my W-2 information each year. I leave the employee data in and just add all year so keying the W-2 data in is easy. I would like to learn more about exporting the data into the tab delimited format for importing into the W-2 Program though, the same hold true for Quarterly Reports on Unemployment taxes which will need to be file Mag Media soon in most states. QuickBooks is a great program but has many limitations and the tech help is NO help !

thanks for the information. I'm going to try a program called "Account Ability" by IDMS Inc. Their tech support has been kind and helpful so far. There are multiple steps but data can supposedly be imported. As back up to the importing challenge I'm also going to try DataBlox's "OfficeQ" program because they boast that they can "extract ALL accounting data from QuickBooks". I'll post a progress report later for anyone interested.

Please let me know how you make out as I have fought the same battle and have searched the same media as you are now.
I am using W-2Pro which is purchased the www.1099Pro.com. only problem is they release their magnetic media module after the actual W-2 program and I dont like waiting for it.
Other than that the program is simple and I actually dont mind using it. YOu can either enter the W-2's directly to the screen or enter employees then enter the W-2 later just entering their Social Sec. #. ANyway please do post your progress as I too would like to be able to export or import data instead of rekeying 700 W-2's ! Too bad QuickBooks does not have the module !!

"Quickbooks W2 magnetic media" search yielded many solutions on internet. Some much more expensive than others. No data on how they work yet. Here are two, one inexpensive, one costing a little more but probably more polished etc.

A client has used Universal Conversion Services, Inc. in Virginia, Ken Bailey 703-289-3005 for converting around a thousand W2's per year for several years. The price is right and they have been happy. You set up a printer that prints to a print file instead of a printer so you can select it in the Quickbooks print screen. Then email this file to Ken. He takes this and extracts the data and send you a disk and the forms filed out ready to go. No reentry of data. Other programs can also extract the data. Just remember the name you give to the file so you can use find or search to find the file generated that ends with .prn

That program will give simple utility to convert Qbpooks w-2, Only after finish w2 in Qbooks go to W2 print & choose to print on file, that will be .prn file. Save it on disk. Go to there Utility & give file name & all data will be converted in to there program. only you need to print on blank forms. you have choise to print all copies- Copyb, 1,2,C or Copy d on one page for each employee.
