View Full Version : using QB to find strings of data

This is my first time here, so I hope I am doing this post the correct way! : )

I have many different manufacturers' part numbers listed in the Description area of the Items that we purchase to make other items. I am attempting to get our inventory straightened out by inputing Inventory Assemblies so that I can perform a "Build Assemblies" whenever we convert purchased parts into another item for ultimate sale.

We sell electronic items, and we have a laundry list of cables that use different types of wires and connectors. In our files, we have a sheet that tells me OUR part number for the finished cables, but it lists the VENDORS' numbers only for the parts that are used to produce it. So, is there a way to have QB help me search my PO's for the vendor part number that would appear in the Description section of my PO, so that I can easily find out what MY part number is in order to do the Build??

Use the Advanced Find. Put your description (or part of) in the memo filter. Select 'All except summary' in Detail Level. You may need to select Bills under transaction type, and the right stock account and maybe filter on other fields too. Then click the Report button. Now you can customise this report with your own heading etc., memorise it and use it again from the Memorised Reports list. You'll have to go to the filters and change the Memo filter each time to find a new part. [I wish Intuit would enhance the customised reports to be able to ask for a parameter each time so you don't have to wait while it finds what is memorised, change the memo filter then wait again, but I try to remind myself how long this would take in a manual set of accounts!]

That worked GREAT!! I did change the Posting Status to "Non Posting" since I wanted to look through PO's. I figured it would be less search time.
