QBAutomation Solutions for Authorize.Net and Quickbooks
The Problem
Many owners of Internet Online Shops have chosen Authorize.Net as their payment provider. This allows them to accept creditcards issued by Visa, Mastercard etc.
There are lots of entire shop solutions available. But how about bookkeeping ?
Usually you will receive a sales confirmation online as a response page and by email. By end of the month you get the money credited to your banking account.
You manually add all your sales into Quickbooks either as anonymous sales or by additionally adding the customer information.
The Solution
QBAutomation is a tool written for accounting with Quickbooks. One of its features is to import items like invoices and sales receipts.
We spent some extra effort to give Authorize.Net users the opportunity to import their sales receipts into the Quickbooks system.
This is a step by step instruction how to do this.
A. Let us assume that you get a sales confirmation by email.
Here is a sample of such a confirmation.
1. The next step is to open your Quickbooks application and to select - if necessary - your company file.
2. Then open QBAutomation and press the import button.
A dialog pops up to choose the import file. Just press cancel and ignore it.
3. From the menu choose Import | Capture Authorizer.Net Sellers Receipt
A messagebox prompts you the copy the receipt you got by email to the clipboard. So goto the confirmation, choose Select all (Ctrl-A) and Copy (Ctrl-C). Go back to the QBAutomation messagebox and press ok.
In the left list all your customers are displayed and if the customer is already in Quickbooks it is selected and displayed on the screen. You may now change the customer by selecting another one from the list. If the customer is totally unknow, if will be created automatically.
4. With 'Add to Quickbooks' all the information from your authorize.net confirmation is imported to Quickbooks. You can review it in Quickbooks Customer | Sales Receipts .
